Optimize Your Performance Metrics and Dashboards for Effective Management

In today's business world, key performance indicators (KPIs) and dashboards are essential tools for effectively managing an organization.

However, it’s easy to get lost in a sea of metrics or, conversely, to have none at all to guide our actions. So, how can we make sense of it all and establish relevant KPIs? That’s what we’re going to explore together.

Too Many or Too Few Indicators: Finding the Right Balance 

 When you start thinking about performance metrics, you can quickly feel overwhelmed by the vast array of metrics available at every level of the organization. Having too many metrics leads to the creation of various forms of waste that do not add value to your processes. 

Conversely, some organizations operate without any metrics, making it difficult to evaluate their processes. The goal, therefore, is to strike a balance by selecting KPIs that truly reflect the company’s performance and strategic objectives.

What is a key performance indicator (KPI)? 

A key performance indicator, or KPI (Key Performance Indicator), is a quantifiable measure used to assess the success of a specific organization, department, or process in achieving its objectives. KPIs must be specific, measurable, achievable, relevant, and time-bound (SMART). A KPI is not an accountability tool. 

 The three dashboard models to be deployed  

To effectively organize your metrics, it is essential to set up dashboards tailored to the different levels of your organization. Here are three recommended models: 

1- Executive Dashboard 

This dashboard is directly linked to the company's strategic planning. It covers key areas such as: 

  • Health and Safety 
  • Quality 
  • Production or specific activity of your organization
  • Human Resources 
  • Environment 

The selected KPIs should make it possible to track progress toward strategic objectives by priority area and provide an overview of organizational performance. It is crucial to avoid including purely operational indicators or those intended solely for accountability purposes.  

2- Operational Teams Dashboard 

Designed for teams in the field or involved in operations, this dashboard covers the same key areas as the strategic dashboard but with team-specific metrics. The goal is for each team to be able to take direct action on its own metrics and track improvements in its performance. A key feature of this dashboard is the inclusion of a dedicated section for problem-solving to enable corrective actions. Best practice is for this dashboard to contain only 5 to 8 performance metrics. 

3- Project and IT Team Dashboard 

This board is designed for teams working in project mode. It is intended to facilitate daily project tracking, resource management, and task assignment. It is based on agile principles and is organized into four columns representing the different stages of the workflow: 

  • Backlog (list of tasks to be completed) 
  • In Progress (tasks in progress) 
  • Completed (tasks completed) 
  • Pending (tasks requiring action) 

A crucial element of this framework is the addition of a track of lessons learned after each project cycle. This visual organization enables proactive and collaborative project management. Important note: Be sure to take the time to define with each project team what constitutes a unit of work (1 hour, 4 hours, 2 days, etc.). 

Best Practices for Implementing KPIs and Dashboards 

  • Strategic Alignment : Ensure that each metric aligns with the organization’s overall objectives. 
  • Simplicity and Relevance : Limit the number of metrics so you can focus on those that provide real added value and that your team can act on. 
  • Collaborative Participation : Involve teams in selecting and defining KPIs to foster engagement and ownership. 
  • Limited Lifespan of Each Performance Metric : Review the relevance of your metrics at least every three months. If they’re still in the “green,” then change them. A good performance metric should highlight issues so they can be resolved.
